How to track and trace players

While following government guidelines for COVID-19, clubs can use the Pitchero Club Website and Mobile Apps to track and trace players as they return to playing sport in a safe environment.

Clubs should use Pitchero to track and trace players at:

  1. Training sessions - using the Player Availability and Training feature.
  2. Matches - using the Player Availability and Team Selection feature.

Training Sessions

All Webmasters and Team Admins have access to the Training feature. The feature is free to all clubs and accessible via the club website control panel, the Manager App (for coaches and team managers) and the Club App (for players and parents).

What does the feature do?

The Training feature can be used by coaches and team admins on a team by team basis. The feature allows a coach to:

  • Organise the date and time of a training session.
  • Publish the date and time, plus additional information such as COVID-19 instructions.
  • Invite players to attend the training session.
  • Record and track player attendance.

Can I control who is invited?

Yes. The training feature allows the coach to invite a team of players. If required, the coach can create multiple training or match teams. Example ‘U15s A’ and ‘U15s B’

Where will the training information appear?

The training information will appear in lots of different places; 

  • First, in the player’s schedule, which a player or parent can view via the Pitchero Club app or their online user account.
  • Second, the team homepages and within the club calendar.

Can the coach include extra Covid-19 information?

Yes, the Training feature allows a coach to add notes to each session which can be used to advise the players on travel, hygiene and personal distance - see your federation for guidance.

Can I monitor player availability?

Yes, use the Player Availability tool in the club control panel. Send a prompt to all players and parents requesting they complete their online availability.

You will then be able to see which players are available when.

Tracking attendance

Logging which players have attended training is straightforward and can be done in the Manager App during or after a training session. Click here to see a short guide.

Exporting training records

Track and trace functionality can be used to export player attendance for training sessions into a flexible CSV format, perfect for submission to your league, county or governing body. 

The exports have the date and time, type of event (training or fixture), a reference to the event (e.g. "First team training"), first name and last name of the attendee.

Matches

All Webmaster and Team Admins have access to the Team Selection feature. The feature allows a coach to:

  • Assign a list of players to a fixture.
  • Publish additional information, such as COVID-19 instructions.
  • Invite the players to confirm their selection.
  • Record and track player appearances (who has played)

The above sequence can be completed for each match in just a few minutes using the Manager App. To read a step-by-step guide to creating and managing team selection, via;

Where will a Team Selection appear?

When published, your team selection will appear in lots of different places; 

  • First, in the player’s schedule, which a player or parent can view via the Club App or via their online user account.
  • Second, the team match page.

Can the coach include extra Covid-19 information?

Yes, the feature allows a coach to add instructions and a match preview. This can be used to advise the players on travel, hygiene and personal distance - see your federation for guidance.

Can I monitor player availability for each fixture?

Yes, use the Player Availability tool in the club control panel. Send a prompt to all players and parents requesting they complete their online availability.

You will then be able to see which players are available on each date.

How can I track attendance?

The team selection will be assigned to the match result. Before submitting the result, make sure the starting line up and substitutes are correctly listed in the team selection.

Once the result is saved, the selection will be your record of attendance.

Exporting match records

Track and trace functionality can be used to export player attendance in matches into a flexible CSV format, perfect for submission to your league, county or governing body. 

The exports have the date and time, type of event (training or fixture), a reference to the event (e.g. "Leeds FC vs Manchester FC"), first name and last name of the attendee.

Give your Coaches 'Team Admin' Access!

After reading this blog, we recommend all club officials check to make sure Coaches and Team Managers have access to the club website control panel. Pitchero strongly recommends all teams assign have two Admins per team, this will means Coaches can manage players on their own, and the task of tracking and tracing players shared amongst club officials.

To add a new Team Admin you will need to update a Coaches 'role'.
