Managing club registrations can involve collecting important documents from players, parents, coaches and volunteers.
From identification and DBS documents to photographs, medical records and permission forms, clubs need a simple and secure way to keep everything organised.
That’s why we’ve introduced Secure Documents to Pitchero.
Available to clubs on our Standard and Pro packages, Secure Documents gives clubs a dedicated place to request, collect, review and manage documents associated with their members, all within Pitchero.
It means less time chasing paperwork, fewer documents being shared across different channels and a clearer process for both club administrators and members.
For Club Webmasters
Secure Documents has been designed to make managing member documentation easier for busy club volunteers.
Clubs can request documents from specific teams, roles, groups or individual members, making it easy to tailor requirements to different areas of the club. Administrators can also create their own document types where needed.
From one central dashboard, authorised administrators can see which documents are outstanding, which require review and which have been completed. Filters make it easy to narrow this down by team, role, group, document type, review status or expiry.
Clubs can review submissions, accept or reject documents and send reminders to members who still need to provide information. Documents can also be downloaded individually or in bulk where they are required for another registration or governing-body process.
Importantly, access to Secure Documents is restricted. Primary Webmasters control which authorised users can manage the area, helping clubs ensure sensitive information is only available to the right people.
For Club Members
Secure Documents also makes life simpler for members.
When a club requires a document, members can securely provide it through their Pitchero account rather than needing to send sensitive information separately by email or another messaging platform.
Parents and carers can also manage requested documents for their children through their own account.
Members can clearly see when documents have been requested, while uploaded information can only be viewed by authorised club Webmasters and Document Administrators.
For documents that expire, such as passports, driving licences or DBS documents, Pitchero can also highlight when an updated document is required.
Less admin. Better organisation. One secure place.
Secure Documents brings another important part of club administration into Pitchero, helping clubs reduce manual admin while giving members a straightforward and secure way to provide the information their club needs.
For clubs managing registrations across multiple teams, age groups and volunteers, it’s another way Pitchero can help keep everything organised in one place.
